# Intelligent systems, built and run.

AI agents that let the same team take on more of the work. Our embedded engineers build each system into your company, run it, and move it to newer models as they ship.

## Where your company is decides the system.

### Operations systems

Your operations were built for an earlier way of working.

Agents that take over the work your operation repeats by hand.

- **What gets built**: Process automation for intake, records, handoffs and reporting, connected through APIs to what your team already uses.
- **What changes**: The same team carries more of the operation.

[See operations systems](https://octyn.co/systems/operations)

### Growth systems

You are growing faster than you can hire.

Agents that find, reach and follow up with the right people, in your company’s voice.

- **What gets built**: A research agent, an outreach agent and a follow-up agent, sharing one record.
- **What changes**: Growth stops waiting on the next hire.

[See growth systems](https://octyn.co/systems/growth)

### Product systems

Your product needs AI inside it.

Voice agents, long-term memory and decision models your product runs on.

- **What gets built**: AI APIs your application calls, with the models behind them run by us after launch.
- **What changes**: Your team ships the product; the models are upgraded as better ones ship.

## One company, every team

Each team gets its own system. The whole package is built side by side and run by the same embedded engineers, so the same people take on more work. Here it is for an agency, with the proof behind every system.

A social media or content agency, team by team:

**HQ and leadership** (for your leadership team)

- Where every project stands, on one page, worst first: The project that needs a person shows up first, without a status meeting. Proof: [OCTYN HQ](https://octyn.co/casestudies/octyn-hq) (Running (our own))
- Company memory: What the agency knows stays in one place, and every system reads from it. Proof: [Brain](https://octyn.co/casestudies/octyn-brain) (Running (our own))
- One inbox and pipeline: Email, chat and direct messages land in one record, with the pipeline on the same data. Proof: [Agency Ops](https://octyn.co/casestudies/agency-ops) (Running (our own))

**Writing and content** (for your content team)

- Research: the angle before the brief: Each writer starts from a sourced angle, not a blank page. Proof: [Content agency](https://octyn.co/casestudies/writer-angles) (Designed), [fullsend](https://octyn.co/casestudies/fullsend) (Running (our own))

**New business** (for your new business team)

- Brand research and outreach: The right companies are found, researched and written to in your voice, inside limits you set. Proof: [Craft retailer](https://octyn.co/casestudies/craft-retail-brand-sales) (Running), [forward](https://octyn.co/casestudies/forward-scouting) (Running (our own))

Built side by side under one partner, with go-live staged so nothing breaks. Other teams join the map when there is a running system or a working demo to show for them.

## Case studies

Named where the client agreed. Everything else is shown with synthetic data.

- **Hand every writer the angle before they start.** (Content agency, Designed): Each client’s niche is read across the places its audience talks, sorted by topic and made searchable. For your content team. Inside: social listening · topic clustering · search by meaning.
- **Land brand deals from a short list of the right companies.** (An independent craft retailer · brand sales, Running): Each company is researched and gets a drafted first email; a separate sender is the only part allowed to send. For your new business team. Inside: research agent · voice-matched drafting · send gate with a daily cap.
- **Answer every client from one inbox, whichever channel they wrote on.** (Our own · Agency Ops, Running (our own)): Email, chat and direct messages land in one record, sorted as they arrive, with the pipeline kept on the same data. For your leadership team. Inside: message sorting · one client record · pipeline on the same data.
- **Publish every week in each founder’s own voice.** (Our own · fullsend, Running (our own)): One written record of what each founder knows and how each one writes feeds every thread and article. For your content team. Inside: founder knowledge base · voice model · scheduler.
- **Reach every fleet manager in your market, in your own voice.** (Marine services, Designed): Existing and newly found contacts are researched, then written to in the owner’s voice. For your new business team. Inside: contact enrichment · voice-matched drafting · approval queue.
- **Put each participant’s full context in front of their counsellor.** (Health coaching, Designed): Logs, history and the last conversation on one screen per participant, with the next nudge drafted. For your coaching team. Inside: log reading · one case file per participant · nudge drafting.
- **Move a cross-border order from quote to delivery without the email chain.** (Trade and logistics, Designed): One system carries the order through supplier checks, escrow, letters of credit, shipping and claims. For your operations team. Inside: document extraction · routing by your rules · claims tracking.
- **Let customers log their day by speaking.** (Health coaching · product, Designed): A spoken note becomes structured entries the team can review, and the product can pull through an API. For your product team. Inside: speech recognition · structured entries · review API.
- **Log an expense in the time it takes to say it.** (Our own · Mooney, Running (our own)): One spoken sentence becomes a categorised transaction. The app is live on Google Play, and we run it. For your product team. Inside: speech recognition · transaction parsing · fallback chain.

## Most AI pilots never reach production

Ours go live, and we run them.

Each one is measured against the baseline from your Consult, re-set as your company changes, and moved to newer models as they ship. Our engineers work embedded inside your team: they learn the work where it happens, then build the system there and run it for as long as you run it. Building and changing a system now takes days, not months, which is why staying is worth it.

Get more done from the same team.

## The real alternatives

Each of these works for someone. What differs is what it costs you, and who keeps it current.

- **By hand**: What it costs you, your founder’s hours; Fitted to how you work, yes; Who keeps it current, the founder, until they can’t
- **Chatbots and copilots**: What it costs you, a seat per person, every month; Fitted to how you work, one person at a time, not connected to the rest; Who keeps it current, the vendors, on their roadmap
- **A dev shop or freelancer**: What it costs you, capital once; Fitted to how you work, at launch; Who keeps it current, nobody; it falls behind
- **A hire or an offshore team**: What it costs you, a salary, every month; Fitted to how you work, once they have learned it; Who keeps it current, the hire, while they stay
- **OCTYN, as your partner**: What it costs you, a fixed price per system, then one monthly fee; Fitted to how you work, made for one company, across every team; Who keeps it current, us, for every system

## It starts with the Consult

A paid mapping of your operation. You get the map, a baseline, the architecture of the AI system we would build (its agents, its models, and where people sign off), a roadmap, and one fixed price in writing. All of it is yours, whether or not we build it. If nothing is worth building, we say so.

- **The whole operation, as your operating partner**: One Consult maps every team. The whole package is built side by side, each system at a fixed price, and our team runs it all under one monthly fee. [Partner with us](https://octyn.co/partner-with-us)
- **One system**: The Consult maps one piece of work and ends with one fixed price for its build. A partnership can follow once a second system is on the roadmap. [How the Consult works](https://octyn.co/consult)

Both start with a mapping call.

Signs it fits:

- The same work is done by hand, every week.
- The process works. It just takes people.
- Work waits on the few people who know how.
- You would rather have one fixed price than an hourly rate.

Signs it is early:

- The process still changes month to month.
- There are no operations yet to map.
- You are comparing hourly rates.

Two or more signs that fit: book a mapping call. Early, or not sure: send the problem from the homepage form, and a person replies within two working days.

## Before the call

What companies ask us first, answered the way we answer it on the call.

- **We already use chatbots. What changes?**: A chatbot helps one person with one task, and what it learns stays with them. An agent runs a kind of work across the team: it finds, sorts, prepares, chases, remembers and reports, inside the software you already use. Your people keep the decisions, the client relationships and the creative calls.
- **Does this replace our people?**: No. The agents take on the repeat work, so the same team carries more without hiring to match. Each agent moves up only when your team has seen it work, and can be stepped back at any point. Your people keep the decisions, the relationships and the creative calls.
- **Who owns the system?**: Yours. Your data, specs, configuration and system code. Our general tooling and methods stay ours.
- **Where does our data live?**: Where it runs is written down for you before anything is built. Each system reads only what its job needs, each person sees only what their role needs, and nothing reaches a client or a customer without your approval. An NDA is yours on request, before the first call if you want one.
- **Which models do you use, and where do they run?**: Whichever fits the job and your data rules: frontier models from the major labs, or open models where your rules call for them. When a better one ships, we move the system to it. That is part of running it.
- **Where do people stay in the loop?**: Wherever you mark a step as theirs. The system prepares the work and a person approves it: anything that goes out in your name, anything that spends money, anything you decide a person should see first. Where no person is needed, the line is a rule instead: a sending cap, a view that only reads, one state per thread.
- **How do you measure whether it works?**: Against the baseline from your Consult. Before anything is built we measure how the work runs today, and the system is judged against that.
- **What happens after launch?**: OCTYN runs it. It is kept current as the services under it change, and re-set when your company changes: a new product, a new market, a new way of working. You can also take it over, with the documentation to do it.
- **Can we start with one team?**: Yes. One system is a real way in: the Consult maps that work and fixes one price for its build. As a partner, the whole package is built side by side, with go-live staged so nothing breaks, and our team stays to run it.
- **Does everything need automating?**: No. Some work is better done by a person, and the Consult says which. If nothing in your company is worth building a system for, we say so, and the map and baseline are still yours.
- **How is it priced?**: The Consult first, then one fixed price, in writing. The Consult is paid, and what it finds sets the price of the build, so you know the whole cost before anything is built. Running it after launch is a monthly fee.
- **Why not a dev shop or a hire?**: A dev shop builds what it is asked for and leaves at launch, so the system falls behind as your company changes. A hire learns your company but carries one role. OCTYN maps the work, builds the system and stays to run it.
